Information we may collect

  • Identity and contact details supplied in an enquiry or booking.
  • Organisation, group and Challenge interests.
  • Booking, payment and participant administration records.
  • Event communications and support requests.
  • Health, accessibility or emergency information where genuinely required for safe Event delivery.
  • Technical and consent records needed to operate and secure the website.
  • Aggregate website statistics, such as page totals, referring domains and broad device or browser categories, with no retained visitor profile.

Payment-card details are handled by the relevant payment provider and are not stored by this static website.

Website AI assistant

Challenge Central’s website assistant is an AI-supported service that can answer general questions about Challenge Central, recommend suitable challenges, show public event information, and help prepare an enquiry. Please do not enter medical, safeguarding, payment-card, or other sensitive information in the chat.

If you choose to send an enquiry, Challenge Central stores the contact details and conversation needed to respond, creates an enquiry in its existing customer-management system, and may provide the conversation to authorised Challenge Central staff. The service uses a contracted AI provider to generate responses. The provider receives only the information needed for the assistant request after Challenge Central’s filtering controls; payment-card and medical records are not sent to the provider.

The assistant does not make booking, medical, payment, or eligibility decisions. A member of the Challenge Central team must handle any follow-up that requires judgement. The assistant does not send marketing messages unless a separate marketing consent is given through the normal process.

Unlinked conversations are automatically removed after the configured short retention period, currently 30 days. Conversations linked to an enquiry follow the existing enquiry retention policy, currently 12 months, subject to applicable legal, safeguarding, or dispute-hold requirements. You can request correction or deletion through the existing privacy process.

Who information may be shared with

Where necessary, information may be shared with Event-delivery teams, accommodation or transport providers, technology suppliers, payment providers, professional advisers, authorities or emergency services. We only share information needed for the relevant purpose and expect suppliers to protect it appropriately.

How long we keep information

General website enquiries are retained for up to 12 months, unless they become part of an active customer relationship or legal record. Other records are kept only for as long as needed for the purpose for which they were collected and any applicable legal, accounting, safety or insurance requirement.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to processing, obtain portable data and withdraw consent.
